To send new Telegram notices to a team inbox, create an Email Publish Task: connect a Gmail or SMTP sending account, choose the Telegram source, and enter the email recipient separately. Start with one source and a mailbox you control. Confirm a fresh message arrives before switching to the team's real recipient address.

This guide uses RedFox Auto Forward Telegram (@AutoForwardNew_Bot). The previous bot @Auto_Forward_Messages_Bot has moved to @AutoForwardNew_Bot; use the current handle. RedFox is the product team. Auto-Bot.io is a separate editorial publisher and does not develop or operate the product.

The starting point is a Telegram account already connected to Auto Forward Telegram and access to a channel, group or chat whose notices you may share by email. For that prerequisite, use the existing Telegram connection and forwarding setup guide. Email uses Publish, not a regular Telegram-to-Telegram forwarding task. The RedFox route map covers choosing between directions; this walkthrough handles one Email route in detail.

Scope: this is a documentation-backed setup workflow, checked October 24, 2026, not a newly executed email-delivery test. The hero is a concept illustration, not product UI or evidence that an email arrived. The steps below are checks for you to perform with authorized accounts and harmless content.

1. Decide whether new-message email delivery fits

Email Publish suits a team that wants new notices in its existing mailbox without someone manually copying every update. For example, an operations coordinator can route approved notices from an owned Telegram announcement channel to a team mailbox. That is an illustrative workflow, not a customer result.

RedFox's Email publishing guide defines the important boundaries:

  • New messages only: creating the task does not send the source's older history.
  • No edit or delete mirroring: correcting or deleting a Telegram message does not update or recall the email copy.
  • Attachments: up to 8 MiB per file and 20 MiB of attachments per source message. Both conditions matter.
  • Source selection: one or more selected Telegram sources can feed the same Email Publish Task. Begin with one so you can identify the source of each check.

If you need a continuously corrected archive or historical migration, do not treat this new-message route as that solution. If the source includes confidential discussions, choose an approved announcement source rather than exporting the whole conversation. Access to a chat is not permission to redistribute its contents.

Check the access and terms shown in your account before starting. The current Email guide does not state a price or a required add-on; that is not a promise that Email publishing is included in every plan. Do not import the External Publish conditions of another destination or the capacity of a regular forwarding task.

2. Write down two addresses before connecting

The connected email account is the sender. The Email recipient field is the destination. They are separate choices, even when both mailboxes belong to your organization.

  • Sending account: a dedicated mailbox you are authorized to connect, such as an internal notifications account. Use a recognizable optional sender name.
  • First recipient: a private mailbox you control for checking delivery. Do not begin with a customer mailing list or a broad distribution address.
  • Final recipient: the approved team mailbox, checked with its owner before routing real notices.
  • Telegram source: one permitted announcement channel or chat, with a clear understanding of which future messages belong in email.

Record those choices privately with the task name. Do not put an App Password, SMTP password, private invite link or message contents into a shared worksheet. A useful task label is Ops notices to team email; it describes the route without storing credentials.

3. Connect Gmail or your supported SMTP sender

Open Auto Forward Telegram, then Publish. In Platform accounts or Manage accounts, choose Add account, select Email and give the connection a recognizable account name. The documented choices are Gmail or Custom SMTP under Advanced settings.

  • Gmail: enter the sending Gmail address and a Gmail App Password, not the normal Google account password. The Gmail server, port and security settings are configured automatically. Enter the credential only in the genuine connection flow.
  • Custom SMTP: use the public DNS hostname, username, SMTP password and sender email supplied by your provider. The documented security pairs are 465 + TLS or 587 + STARTTLS. Localhost, private IP addresses and local-only hostnames are not supported in this flow.

For Gmail, read Google's App Password guidance. Two-Step Verification is required, and the option may be unavailable for organization accounts, Advanced Protection or security-key-only configurations. Google recommends Sign in with Google when an app offers it; RedFox's documented Gmail Email connection here uses an App Password. Do not weaken organizational security controls to force the option. Ask the account administrator or use an authorized SMTP account that fits your provider's rules.

Save the connection and wait for Connected. Only a Connected Email account can be selected in the Publish Task. If it shows Reconnect required, repair that connection first. Saving an account name is not proof that it can send mail.

Keep credentials out of screenshots and support requests. If a credential is exposed, revoke it with the email provider and reconnect with a new one. Google also revokes App Passwords after a Google account password change, so a previously working connection may need a new App Password.

4. Create one clearly addressed Publish Task

Return to Create Publish Task. RedFox documents four steps: Provider, Connection, Source and recipient, and Review.

  1. Provider: choose Email.
  2. Connection: choose the intended Connected sending account. With only one connected Email account, AutoForward selects it automatically; still check its identity. If the list is unavailable, use Refresh connections rather than creating duplicate accounts.
  3. Source and recipient: select your permitted Telegram source, confirm the selection, and enter the controlled first-recipient email address. At least one source is required. Check the recipient independently from the sender.
  4. Review: name the task, verify Email as provider, the sending connection, the source names and count, and the recipient address. Read the new-message and attachment rules, then select Create Publish Task.

Open the resulting task detail and inspect its current status. Use Start Publish to start the task when ready; Stop Publish pauses it. A stopped task does not send messages until started again. Do not assume a successful creation screen proves the task is running or that the mailbox received anything.

For the email subject, the documented choices in task details are Smart, Task label and Custom prefix. Smart chooses a subject automatically; Task label uses the Publish Task name; Custom prefix adds your prefix before the Telegram message's first line. Choose the form your team can recognize and save it. For this first check, Task label makes the route easy to identify without assuming the body or sender has changed.

5. Verify a fresh notice before changing to the team inbox

Use an owned or otherwise authorized source and harmless content. These are proposed acceptance checks, not results already observed by Auto-Bot.io.

  1. Send one new text notice after the task is created and running. Give it a unique, non-sensitive first line, such as EMAIL-CHECK-A: office notice. An old Telegram post is not a valid check of new-message delivery.
  2. Open the actual recipient mailbox. Check Inbox and Spam or Junk. Confirm the intended recipient, recognizable sender, selected subject behavior, readable body and useful links. A Connected badge alone does not establish mailbox arrival.
  3. If attachments matter, check a separate fresh small document. Keep it comfortably below both documented limits. Open the received attachment and verify that it is the intended readable file. A text-only result does not establish file delivery.
  4. Record the exact outcome privately. Note the task label, source, posting time with timezone and whether the corresponding email arrived. If it failed, keep the actual error and stop expanding the route.
  5. Change to the approved team recipient only after the controlled check works. Use Edit Publish Task, update Email recipient in Source and recipient, and save. Recheck that saved address, then coordinate one fresh approved notice and confirm it in the real team mailbox.

Keep the previous and final recipients clear in your handoff. One successful check supports that source, account, recipient, content and observation time; it is not an email latency guarantee or proof that every future file will arrive. Team mail rules and spam handling still matter.

6. Keep attachments and corrections predictable

For attachments, check the individual file and the source-message total. A file may satisfy the total limit but exceed the per-file limit. Do not replace MiB with MB or assume the separate Telegram Sender Bot large-file extension changes Email Publish limits. That guide covers a different route.

The Email documentation gives the size boundaries but does not establish a universal fallback for an oversized attachment. Prepare an appropriately sized authorized version before publication, or share a suitable access-controlled document link when your audience is entitled to open it. Do not assume a failed attachment becomes a download link automatically.

For a correction, send a clear new source notice. For example: Correction to EMAIL-CHECK-A: the office opens at the revised time shown below. Include the corrected information and a reference readers can recognize. Since Email Publish does not mirror Telegram edits or deletes, editing or removing the original is not a way to recall delivered mail. A new correction is still a new message: verify its email copy.

Use Stop Publish if notices are reaching the wrong audience. Pausing prevents the task from sending until started again; it is not a recall operation. The guide does not establish how stopped-period messages are handled on restart, so do not promise a backlog replay. Recheck the recipient and use a fresh approved notice after any change.

If the first email does not arrive

  • Connection cannot be selected: verify Connected status, refresh the connection list and reconnect the affected account if required.
  • Gmail rejects the password: confirm an eligible account with Two-Step Verification and a valid App Password. Do not repeatedly try the normal Google password.
  • Custom SMTP cannot be saved: check the public hostname, the supported port/security pair, provider credentials and valid sender email. Obtain the provider's correct settings rather than guessing.
  • Task exists but no email: check running status, the saved recipient, Spam or Junk, the sending connection and whether the source message is fresh. If it includes files, check both attachment limits. Use a fresh plain-text notice to separate file handling from basic delivery.
  • Older posts are absent: that is expected for this new-message route. Do not recreate tasks to force historical delivery.
  • Text arrives but a file does not: isolate that file's size and source-message attachment total. Preserve the observed symptom; do not buy a Telegram sender add-on as an assumed Email remedy.

If an in-scope fresh message still fails, give product support a sanitized record of task status, connection status, source type, recipient domain, timestamp, content type and actual error. Never include passwords or private message bodies in a public ticket. Check the recipient privately with your team rather than exposing the complete address unnecessarily.

Frequently asked questions

Must the recipient be the connected Gmail account?

No. The connected account sends the email; the Email recipient is entered separately in the Publish Task. Verify both addresses before starting and again after a recipient change.

Will creating the task email my existing Telegram history?

No. The documented Email route sends new messages only and does not automatically replay messages that existed before setup. Check it with a fresh message after the task is running.

Will a Telegram edit fix the email that was already sent?

No. Email Publish does not mirror Telegram edits or deletes. Send an explicit correction as a new source message and verify that new email rather than assuming the earlier copy changed.

Can I use my regular Gmail password?

No. RedFox's documented Gmail connection requires an App Password. Follow Google's eligibility and security guidance; if the option is unavailable, do not bypass account policy.

Build one route your team can trust by checking it

Open the Auto Forward Telegram product overview, then connect one authorized email sender in Publish. Select one permitted source, verify a fresh notice in a mailbox you control, and only then move to the approved team recipient. The cross-platform publishing guide helps if another audience needs a different destination.

Choose the Web App, iOS app or Android app as you prefer. Web/App provide fuller management than the limited Telegram-bot entrypoint. Active tasks run in RedFox's cloud without keeping the management interface open; the sending account must remain valid, and actual recipient-side checks establish delivery.
