Telegram Event Reminders to Discord and X: A Practical Runbook

To send Telegram event announcements and webinar reminders to Discord and X, prepare approved messages with the event name, absolute date, time zone and a public event link, then distribute them through separate Publish Tasks in RedFox Auto Forward Telegram (@AutoForwardNew_Bot). Write each reminder as a distinct message. Check what actually arrives at both destinations before your event depends on the route.

Identity check: RedFox is the team; RedFox Auto Forward Telegram is the product. The historical @Auto_Forward_Messages_Bot has moved to @AutoForwardNew_Bot. Auto-Bot.io is a separate editorial publisher, not the bot’s developer or operator.

Conceptual illustration, not a product screen or delivery test. The organizer approves the message; the clock represents timing, not automatic calendar synchronization or an enforced approval queue.

This guide is for webinar hosts, meetup organizers and community managers. It covers event dates and reminders, not announcing a new course lesson or creator release. Product documentation was checked on October 2, 2026. The messages below are fictional editorial examples, not announcements of a real event.

Give every message one event reference

A Discord member or X reader should not need to open Telegram to learn when the webinar starts. Keep the essential facts in the message itself. A stable event page carries the full agenda and current status.

  • Event: recognizable title and an organizer-assigned reference, such as NB-WEB-1015. This is your editorial label, not an automatic RedFox event ID.
  • When: full date, start time and time zone or explicit UTC offset. “Tomorrow at 5” becomes ambiguous when a message is reposted or read later.
  • Where: a public event/details link. Say whether it opens the live room, requires registration, or explains how to join.
  • Action: what the reader should do now—check details, register through your existing event service, or join when appropriate.
  • Current status: confirmed, rescheduled, postponed without a new date, or cancelled. Keep that status consistent with the event page.

Univid’s webinar marketing guide emphasizes time zones, an information/registration page and reminders. Those are useful organizer responsibilities; its registration and email features are not features this Telegram publishing route automatically inherits.

Plan a sequence—not repeated copies of the same post

NoticeRelease only whenReader action
New eventThe organizer confirms date, access rules and the event pageRead details and complete any required registration
Advance reminderThe event is still confirmed and the date/link are recheckedPrepare and check access
Final reminderThe current start time and joining instructions remain correctUse the approved event link at the stated time
Reschedule or cancellationThe organizer approves a material changeIgnore the old time and follow the new instruction

Choose a cadence suitable for your audience. The illustrative sequence below uses an announcement, a 24-hour reminder and a one-hour reminder; it is not an optimal-attendance claim or a schedule created by this guide. If plans change, stop using the old reminder copy and follow the event reschedule and cancellation runbook.

Three ready-to-adapt event templates

Fictional illustration: Northbank Community Webinar, its reference and dates are invented. Replace every value and bracketed link before publishing. These are content drafts; writing them does not schedule delivery. UTC below means UTC+00:00.

1. New announcement

NEW EVENT — Northbank Community Webinar
Event reference: NB-WEB-1015
Starts: 2026-10-15 16:00 UTC (UTC+00:00)
Ends: 2026-10-15 17:00 UTC (UTC+00:00)
Topic: planning a useful community meetup
Access: free registration through the event page; required before joining
Details and joining instructions: [your approved public event URL]
Action: read the details and register if you want to attend.
Status checked: 2026-10-08 12:00 UTC (UTC+00:00)

The fictional free-registration term is part of this example, not a RedFox offer. Use your actual event’s price and access policy. Never publish a private organizer or host-room link as the attendee link.

2. Advance reminder

24-HOUR REMINDER — NB-WEB-1015
Northbank Community Webinar
Starts: 2026-10-15 16:00 UTC (UTC+00:00)
Reminder issued: 2026-10-14 16:00 UTC (UTC+00:00)
The event remains confirmed. Check your registration and joining instructions.
Details: [your approved public event URL]
Action: confirm you can access the event before tomorrow’s start.

3. Final reminder

ONE-HOUR REMINDER — NB-WEB-1015
Northbank Community Webinar
Starts: 2026-10-15 16:00 UTC (UTC+00:00)
Reminder issued: 2026-10-15 15:00 UTC (UTC+00:00)
Join using the attendee instructions on the event page.
Details and current status: [your approved public event URL]
Action: be ready for the confirmed 16:00 UTC start.

Keep the absolute date/time even when the headline says “one hour.” A late delivery should not make readers infer a new start time. Add local-time equivalents only after checking the actual date and daylight-saving offset; a fixed offset copied from an earlier event can be wrong.

Prepare a readable Discord or X version

Discord can carry the fuller notice; X needs a compact standalone version. If the same short notice serves both, one approved source can feed two routes. If audiences need materially different text, prepare separately approved sources/routes rather than assuming Publish automatically summarizes or chooses versions.

Illustrative X-ready source and expected output: a fresh Telegram message could contain the following short notice. After publication, the expected X result is a standalone post from the chosen account with these facts and a working link—not a screenshot or observed output:

Reminder: Northbank Community Webinar, 2026-10-15 at 16:00 UTC (UTC+00:00). NB-WEB-1015. Check registration and attendee instructions: [public event URL]

Check the final outgoing length including the real link, Header and Footer against the destination’s current limits. Do not depend on an automatic X thread or image text to carry the start time. A neutral header such as “Northbank event update” works for reminders and cancellations; a fixed “Join now” header does not.

Configure one tested Publish route, then add the second

  1. Prepare a controlled source first. Use a Telegram source your connected account can access and whose contents are approved for the intended audience. Keep drafts and private attendee data outside it. Treat task creation as potentially activating delivery; choose the test source and destination before saving and inspect the resulting state.
  2. Open Home → Publish → Platform Accounts. The Discord Publisher guide and X Publisher guide require active External Publish access and a verified platform account.
  3. Set the destination. Discord uses a bot account and one or more exact Channel IDs, each with channel access and send permission. X uses the intended publishing account with its four OAuth 1.0 credentials and required API access/credits. Follow the Discord setup guide or X setup guide; do not interchange bot tokens, webhook URLs or X credential types.
  4. Create a clearly named Publish Task. For example, “Approved webinar notices → Discord test.” Select the approved source, destination account/channel and a neutral Header/Footer.
  5. Review timing and changes for this route. Decide whether you will release each approved source message at its reminder time or use the Publish schedule described below. Read edit/delete behavior separately; a new reminder is a new message, not an edit to the original announcement.
  6. Verify a new harmless sample while the test route is active. Inspect the destination’s text, time zone, link and representative image/caption. Add the second route only after the first output is useful. A running task or verified account is not delivery proof.

Start small: open RedFox Web, prepare your approved event source and test one permitted destination. The publishing route reduces repeated copy-and-paste; it does not decide whether an event should be announced.

Reminder content and Publish scheduling are different jobs

Publish does document scheduling. Both provider guides place Auto Post Schedule in the create form or Publish Detail. This is direct Publish documentation, not an inference from regular Telegram recurring tasks. Use that control when publication timing needs automation.

Preparing the three messages above does not enable that control, calculate reminder offsets or connect a calendar. Before relying on a scheduled route:

  • Check your account’s access to the specific scheduling option as well as External Publish; do not assume the addon alone unlocks every scheduling mode.
  • Confirm the chosen source message, mode, date/time and effective time zone in that Publish Task.
  • Check whether normal new source posts can still publish immediately. A scheduled configuration is not automatically a held editorial queue.
  • Use distinct approved source messages for successive X reminders; do not assume repeatedly selecting one source message produces a fresh X post every time.
  • Rehearse the exact schedule at a controlled destination, inspect the output and know how to stop the affected Publish Task.
  • After a change, review old schedule entries and pending reminders separately from editing the Telegram announcement.

This guide performed documentation and read-only implementation checks, not a new timed Discord/X delivery test. It does not configure automatic reminder generation, calendar sync, RSVP tracking, ticket sales or Discord Scheduled Events. Those services and attendee access remain with your event tools and organizer.

Check every destination before the first public announcement

DestinationCheckPassing evidence
Telegram sourceApproved event/version, absolute time, public-safe link and access policyThe exact source notice matches the current event page
Every Discord channelCorrect server/channel; bot access; readable time/link/media; no unintended mentionsOpen the exact message and link in each channel, not just one successful destination
X accountCorrect account; complete standalone text; real link; useful media; intended timingOpen the exact published post and event page from the reader’s perspective
Event pageCurrent date/status; attendee instructions; any registration/access restrictionAn intended attendee can read the page and understands the next step
Reminder planNo old-date reminders left approved or scheduled; responsible organizer and backupEach reminder has an owner, release time and destination check

Begin without live pings. If you later use a Discord role mention, test it with consenting recipients and the correct permissions; do not assume Telegram @handles become Discord identities or that every member receives a push notification.

If a delivery is missing or its outcome is uncertain, inspect the destination before retrying. Check the exact task’s state, source, account/channel and recorded error. An authorized organizer can use a native destination post for an urgent approved notice; record that fallback and prevent duplicate distribution. “Skip on error” does not mean the missed reminder arrived.

Start with your next confirmed event

Manage RedFox Auto Forward Telegram in the Web app, iOS app or Android app. Web/App is the primary visual-management path; the current bot is another entry point. Owner-confirmed active tasks run in RedFox’s cloud without keeping the interface open; source and destination access must remain valid.

Next step: fill in one event card, approve one reminder and verify one controlled route in RedFox Web. Use the cross-platform publishing hub for destination choices and the product overview for broader capabilities. Keep the change/cancellation runbook ready before publishing the first invitation.
